How do I import items?

The Item Import feature in Zeller is a powerful tool designed to handle bulk item management efficiently. Here's a detailed breakdown of how to use this feature:

Upload items in bulk using our item file template. To get started with importing your items, login to your Zeller Dashboard

Please note: Modifiers are unable to be imported or exported and this stage, however, will be available in future.  

Accessing the Import Wizard

  1. Log into the Zeller Dashboard.

  2. Navigate to Items then Select All Items.

  3. Click on Manage then Select Import to launch the Import Wizard.

Preparing your Import File

  1. Download the Template:

    1. In the Import Wizard, locate and click on the Download Item File Template.

    2. Save the CSV template to your computer.

  2. Understanding the Template:

    1. Open the template in a spreadsheet program (e.g., Excel, Google Sheets).

    2. Familiarise yourself with the column headers, which represent different item attributes.

    3. Fields include: Item Name, Description, Category, Price, VAT Applicable, SKU, GTIN, Enable for Invoices, Available, Attribute Set 1, Attribute 1, Attribute Set 2, Attribute 2, Attribute Set 3, Attribute 3, and site-specific column.

  3. Filling the Template:
    1. Enter your item data into the appropriate columns.
    2. For multiple categories, use the pipe (|) separator (e.g., "Category A|Category B").
    3. For item variants, fill in the Attribute Set and Attribute columns.
    4. Ensure all required fields are completed.
  4. Save as CSV:

    1. Once your data is entered, save the file in CSV format.
    2. Ensure the file size does not exceed 5MB.

Uploading Your CSV File

  1. In the Import Wizard, locate the file upload area.
  2. Click on the upload area to select your file or drag and drop your file into the upload area.
  3. Navigate to and select your prepared CSV, XLS or XLSX file.
  4. Click Next to proceed to field mapping

Field Mapping

  1. You’ll now see the field mapping interface.
  2. The system will attempt to automatically map columns with matching names.
  3. For any unmapped or incorrectly mapped fields:
    • Click on the dropdown next to the field name.
    • Select the corresponding column from your CSV file.
  4. Pay special attention to required fields, ensuring they are all correctly mapped.
  5. If you have columns in your CSV that don't correspond to any Zeller fields, you can leave them unmapped.
  6. The system will attempt to validate data in your csv at this stage, letting you know of possible errors.
  7. Once you are happy with your mapped fields, click Next to proceed to the Site Assignment step.

Category and Attribute Set Handling

  1. Categories:

    • New categories specified in the import will be automatically created.
    • Items can be assigned to multiple categories using the pipe (|) separator.
  2. Attribute Sets:
    • New attribute sets and attributes specified in the import will be automatically created.
    • Up to three attribute sets can be specified per item for variant creation.

Site Assignment

  1. After field mapping, you'll see the site assignment section.
  2. For each site in your Zeller account, select the corresponding column from your CSV.
  3. If a site doesn't have a corresponding column, you can leave it unassigned.
  4. Note: Admins can assign to any site, while managers are limited to sites they have access to.
  5. Click Next to progress.

Finalise and Import

  1. Carefully review your field mappings and site assignments.

  2. If everything looks correct, click the Import Now button.

Import Processing

  1. The system will begin processing your file.
  2. Items will be imported in the background.
  3. Depending on how many items are being imported, it may take a little while.

Reviewing Results

  1. Once the import is complete, an email will be sent to you.
  2. This summary will show:
    • Number of items successfully imported or updated
    • Number of items that failed to import
  3. If there were any errors:
    • An error report will be available for download.
    • This CSV file will list all failed items and the reasons for failure.

Post-Import Actions

  1. Download and review the error report (if any).
  2. Navigate to your item list to verify the imported items.
  3. Perform spot checks on a few items to ensure data accuracy.
  4. If using the import for updates, verify that the intended changes were applied correctly.
